Receipt or invoice, and what a receipt has to say

A receipt and an invoice carry almost the same information and do completely different jobs. An invoice is a request: here is what you owe, here is how to pay it. A receipt is a record: this was paid, on this date, for these items. Sending the wrong one is a common and slightly awkward mistake, because a customer who has already paid does not want another demand for money.

For most small businesses the receipt only needs a handful of things to be useful: who was paid, who paid, what for, how much, and when. Everything beyond that is presentation. If the customer is claiming the cost back, the itemised lines and the tax amount are the part their finance team will actually read.

Add the payment method in the notes field — card, cash, bank transfer, the last four digits of a card, a reference number. It is not required, but it is the first thing anyone asks when a payment is being traced months later, and putting it on the document saves the email exchange.

Numbering matters more than it looks. Sequential receipt numbers, kept in one series with no gaps, are what makes a set of records defensible if anyone ever reviews them. RCT-001 onwards is enough. Do not restart the numbering each month, and do not reuse a number after voiding one.

Questions

How do I make a receipt?
Fill in your business details, the customer name, and one line per item bought. Set the currency, add tax if it applies, then download. The PDF is written on your device and lands straight in your downloads folder.
What is the difference between a receipt and an invoice?
An invoice asks for payment and is sent before the money arrives. A receipt confirms payment and is sent after. The layout is nearly identical, which is why people mix them up, but sending an invoice to someone who has already paid reads as a chase. Use the invoice generator for the first case and this page for the second.
Is a receipt from a free maker legally valid?
A receipt is valid on its content, not on the software that produced it. What it needs is who was paid, who paid, what for, the amount, the date, and any tax charged with the rate shown separately. If you are registered for VAT, GST or sales tax, your tax authority usually also requires your registration number on the document, so put it in the business details or the notes.
Can I add a payment method to the receipt?
Yes, through the notes field. Write the method and any reference: card ending 4417, bank transfer ref INV-208, cash. It is the detail people come back asking for when a payment is being reconciled.
Are my customer details uploaded anywhere?
No. The PDF is built in your browser with pdf-lib. Nothing you type is transmitted and no copy exists outside your downloads folder. Only your own business details can optionally be kept in this browser local storage, and the customer side never is.
How should I number my receipts?
One continuous sequence with no gaps and no reuse, for example RCT-001 upwards. Restarting the numbering each month or each customer makes a set of records much harder to reconcile later, and gaps are exactly what an auditor asks about first.
Can I add my logo?
Yes. Add it once and tick the box to remember your business details on this device, and it is there on every receipt you make afterwards on the same browser.
