Receipt or invoice, and what a receipt has to say
A receipt and an invoice carry almost the same information and do completely different jobs. An invoice is a request: here is what you owe, here is how to pay it. A receipt is a record: this was paid, on this date, for these items. Sending the wrong one is a common and slightly awkward mistake, because a customer who has already paid does not want another demand for money.
For most small businesses the receipt only needs a handful of things to be useful: who was paid, who paid, what for, how much, and when. Everything beyond that is presentation. If the customer is claiming the cost back, the itemised lines and the tax amount are the part their finance team will actually read.
Add the payment method in the notes field — card, cash, bank transfer, the last four digits of a card, a reference number. It is not required, but it is the first thing anyone asks when a payment is being traced months later, and putting it on the document saves the email exchange.
Numbering matters more than it looks. Sequential receipt numbers, kept in one series with no gaps, are what makes a set of records defensible if anyone ever reviews them. RCT-001 onwards is enough. Do not restart the numbering each month, and do not reuse a number after voiding one.
